Updating your VAT registration address in multiple countries when your tax agent, such as Avalara, does not provide this service can be a bit challenging but it is certainly manageable. Here's a step-by-step approach to updating your VAT registration address across the UK, France, Germany, Italy, Spain, Poland, and the Czech Republic:

Step 1: Gather Required Documentation

First, prepare all the necessary documents that prove your new business address. This typically includes your new lease or ownership documents, utility bills in the company's name showing the new address, and any official government correspondence that reflects the change. Each country may have specific requirements for what qualifies as proof of address, so it’s crucial to check the local regulations.Step 2: Contact Local Tax Authorities

For each country, you will need to contact the local tax authority to get the exact procedure and forms required for updating your VAT registration address. Here’s how you can proceed with each:

United Kingdom (HMRC): You can update your details online through your VAT online account (Government Gateway account). If you prefer, you can also contact HMRC directly via phone or post.

France (DGFiP): In France, address changes are handled through the tax office that manages your VAT affairs. You might need to fill out specific forms which are typically available online at the official tax administration website.

Germany (Bundeszentralamt für Steuern): Changes can usually be communicated through ElsterOnline, the online portal used for tax filings in Germany.

Italy (Agenzia delle Entrate): You may need to file a specific notification of change of address, potentially through their online services or by visiting a local tax office.

Spain (Agencia Tributaria): Address updates can be made online through the electronic office (sede electrónica) or directly at a local tax office with the necessary forms.

Poland (Ministry of Finance): Updates are typically handled through the Central Registration and Information on Business (CEIDG) portal or by submitting the appropriate forms to your local tax office.

Czech Republic (Ministry of Finance): Similar to Poland, updates can be handled online or by submitting necessary documentation to the local tax authority.

Step 3: Follow Up

After submitting your changes, it is important to follow up to ensure that all updates have been processed correctly. Keep records of all correspondence and confirmations. This might require checking back through each country’s respective online portals or maintaining communication via phone or email.

Step 4: Update Additional Platforms

Make sure to update your address with other business platforms and services you use, including Amazon, to ensure all records are consistent.

Step 5: Consider Professional Assistance

If managing this process across multiple countries becomes too cumbersome or if you encounter language barriers, consider hiring a local tax professional in each country or a new global tax agent who can manage these updates for you. This might entail some cost but can significantly reduce the administrative burden and risk of errors.

By taking a systematic approach and handling each country according to its own procedures, you can efficiently manage the update of your VAT registration address across multiple jurisdictions.

I hope this helps,

Ele

Good luck with that, I have been trying to de-register for VAT through Avalara since July last year. Received 2 penalty notices from Spain and Italy which neither VAT services or Avalara can understand or explain.

I'm sorry this is not going to be helpful to you but will underline the fact that you are not alone when Amazon are pushing Avalara services to your benefit and come on the journey only to find later on that Amazon bail and drop any issues into your lap.

They tell you to speak to your International tax advisor knowing full well that no seller has one of those hanging out of their back pocket.

Even if you found such advisor they can't help you because as you have identified Avalara are holding all of your cards and won't release them to you.

Avalara won't offer advice but I do believe if you agree to pay them 150 Euros they will do it for you per country and will be 150 euros per hour if they have to do any work on it with no idea how long the processes take.

The whole Tax thing with Avalara and VAT services at Amazon is shambolic and stressful.
