Invoice request

I have been specifically asked to provide an invoice by an Amazon Business customer (something to do with their software not accepting receipts only invoices?) but have told them I can only provide a receipt as I do not despatch goods unless they have been paid for, or cleared as such by Amazon. Has anyone else faced this situation and if so could I ask how you dealt with it? I'm not even entirely sure I should be issuing a receipt for the full amount the customer paid as the net amount I get paid from Amazon (i.e. my receipt) is less than the gross amount the customer requires the paperwork to detail. Thanks.

I can’t work out what is going from what you’ve just said. N any event you are required to provide invoices for all Amazon business orders, I believe within 24 hours of the order being marked as shipped.

Has the customer actually paid for the order? And have you shipped it?

As for the last bit, what you get paid by Amazon after they take their fees is nothing to do with what you invoice the customer, which is what they paid for the goods/shipping

All orders from Business Customers require an invoice / receipt. Invoice if you are VAT registered, receipt if you're not. It is possible to get Amazon to automatically provide them if you're not VAT registered, by declaring your VAT exempt status. Check out this tutorial on Amazon Seller University https://sellercentral.amazon.co.uk/learn/courses?moduleId=41804451-b599-4f92-9eed-4ed4eedb0cfa&ref_=su_refined_search&modLanguage=English. Scroll down to no.5, where it says 'What to do if you're VAT exempt'. You need to do that so any further business customer orders will be done automatically, but for this one you will need to create a receipt (there's lots of online templates) and upload it to Amazon on your shipped order page 'manage invoice' tab. If you are not VAT registered then do not mention VAT on your receipt.

Quote: "have told them I can only provide a receipt as I do not despatch goods unless they have been paid for, or cleared as such by Amazon". You do not get paid until you confirm shipment of the order, that is when the customer's card is charged. Have you shipped the order ? The receipt/invoice that you provide the customer must be the full price of the item plus shipping, NOT the amount less your Amazon fees.

of course you can issue an invoice, then as you've printed it mark it as paid

if you go into any shop that deals mostly with trade, like hire shops, they issue invoices, then mark them paid

even if you just do something basic in work, that has all the details from the receipt but literally carries the word invoice..

Not really correct. There is a legal difference in terms of what must be on both.

A receipt just gives the amount paid - it does not have to include name/address details (although it can) and it does not mention or show VAT. Receipts are issued by sellers who are not VAT registered

An invoice usually means a full breakdown showing VAT paid. It has legal standing and needs to include certain details such as name/address of issuer, name/address of buyer and VAT number of issuer and the price and VAT paid by customer. VAT registered businesses must provide a VAT Invoice on request.

OP - if you are not VAT registered then a simple document showing date, goods bought, price paid (amount paid by customer not excluding Amazon fees) is all that is required (although I would add name/address of buyer). You must issue the receipt within 24 hours of shipping item and upload it to Amazon. Message the customer and explain as you are not VAT registered then you cannot issue a VAT invoice.
